*A selected medical device's PM and repair history*

## Every device's PM, before it falls due

Each device's schedule makes its own PM work order, so no PM waits on a spreadsheet or someone's memory.

- Each device on its own interval, monthly to yearly
- Its work order early, by the lead time you choose
- The PMs due in the next 90 or 365 days in one forecast
- Every device of one type on one schedule by its tag
- An alert with escalation for each overdue PM

![Wexley County Hospital's PM schedules: Infusion Pump IP-2214 every 12 months, due in 362 days; Patient Monitor PM-ICU-04 every 6 months, 2 days overdue; Steam Sterilizers ST-01 and ST-02 monthly, due in 25 and 3 days; Emergency Generator GEN-01 monthly, due in 18 days; with the monitor's schedule set to repeat every 6 months and assign its work order 7 days before the due date.](/_astro/fixahead-healthcare-pm-schedules-feature-506.JYwyEZZr.webp)

## See PM completion for each device

The PM compliance report lists each device's scheduled, completed, and overdue work. A custom field marks high-risk or AEM status.

![The PM compliance report with Infusion Pump IP-2214 at 100 percent, Excellent, Patient Monitor PM-ICU-04 at 0 percent, Poor, and Emergency Generator GEN-01 at 100 percent; IP-2214's annual inspection, every 12 months, due in 362 days; and its additional details: High Risk Yes, AEM Program No.](/_astro/fixahead-healthcare-pm-compliance-risk-feature-506.DKx0gD6a.webp)

## Let nurses report without calling engineering

A nurse or unit staff member scans the device or room's QR code and sends the issue with no account. When you pay by assets, all your biomedical and plant technicians get logins.

- ### The device and its photo

The report arrives with its asset or location, description, and photos already attached.![A defibrillator on its cart, with Megan Albright's report over it, DF-ED-01 low battery on daily check, and its photo, beside the same issue in the Assigned column for Trauma Bay 1.](/_astro/fixahead-healthcare-device-photo-area-554.B3ngYhKx.webp)
- ### From request to work order

Review the issue on one board and create its work order from the card's menu.![A public report, DF-ED-01 low battery on daily check, from Trauma Bay 1, with its card menu open on Create Work Order, and the new work order Replace DF-ED-01 battery for Defibrillator DF-ED-01, due 10/27/2026, High Priority.](/_astro/fixahead-healthcare-issue-to-work-order-area-554.BB02Gabb.webp)
- ### Each technician's own work

Biomedical and plant technicians see their assigned work orders on Android, organized by status.![Darnell Price's work orders on an Android phone, 2 Assigned, with Replace DF-ED-01 battery, High, for the defibrillator in Trauma Bay 1, first.](/_astro/fixahead-healthcare-mobile-assigned-area-554.B9v221XJ.webp)
- ### No signal at the point of care

Assigned work still opens on Android, and the record syncs when the connection returns.![An ICU room's bed and patient monitor, with the monitor's semi-annual inspection over it, assigned on the web, Low, for ICU Room 4, and open on an Android phone with no Wi-Fi, its ground resistance, leakage current and alarm checks still to do.](/_astro/fixahead-healthcare-mobile-offline-icu-monitor-area-554.Dfw5U9Ua.webp)

## Keep the survey evidence together

Attach PDF manuals, warranties, and calibration certificates to the device, each document with its own expiry date.

- ### Procedures with photo proof

Require checklist tasks and a photo on any step, and on Android it can't count as done without them.![The electrical safety and performance inspection's tasks, the inspection sticker photograph required, and Infusion Pump IP-2214's annual inspection completed on Android with those tasks ticked.](/_astro/fixahead-healthcare-photo-proof-area-554.BDadkbpV.webp)
- ### A timeline on each work order

See who created the work and every status change, with its date and time.![Replace ST-01 door gasket, High and Closed, with its timeline: created by Gloria Mendez at 7:15 am, Darnell Price assigned at 7:20 am, in progress at 7:45 am, completed at 10:30 am, and closed by Gloria Mendez at 11:00 am.](/_astro/fixahead-healthcare-work-order-timeline-area-554.uU2VHpuo.webp)
- ### Departments in a location tree

Set building, department, floor, and room, then filter the dashboard to one room.![Wexley County Hospital's location tree with Second Floor selected, the dashboard's Locations filter set to Second Floor, and Workorders By Status for it: one each Assigned, In Progress, Completed and Closed.](/_astro/fixahead-healthcare-locations-dashboard-area-554.CxIOrSTM.webp)
- ### Dates and documents by category

Add FDA classification, calibration date, next inspection due, and compliance standard as fields for each category.![A custom Date field, Next calibration due, for Infusion Pumps, and Infusion Pump IP-2214's next calibration due date, 10/23/2027.](/_astro/fixahead-healthcare-custom-fields-area-554.DAw0BavK.webp)

## How a 48-bed hospital would run it

Say you run facilities and biomed for a 48-bed rural acute-care hospital in one main building, with a biomed shop of two and a plant team of two. Each device sits in its department and room, from the ED's trauma bay to ICU Room 4 and Sterile Processing.

- **Breakdowns by cause.** Code the sterilizer's failed door seal as Seal failure and the infusion pump's false alarms as Sensor fault, and see repeat faults in Breakdown Analysis.
- **Critical spares on the shelf.** Flag the sterilizer door gasket and the defibrillator battery as critical, and plan one on the work order that needs it.
- **A report to hand over.** Share a closed work order's signed report by link.
